Tenant Accounting
Quickly and accurately record all tenant transactions relating to rent and charges, including full support for payments received via social housing support schemes. Affinity will automatically apply rent each period, and can provide a full breakdown of rent and charge balances at any time. Generate tenant statements for individuals or in bulk - a huge time saving.
As well as the most common "out-of-the-box" charge configurations, you can define your own service charge types, e.g. insurance premiums or care charges, and vary the value and make them recurring for maximum flexibility.
Differential Rent Schemes
Affinity has all the up-to-date differential rent policies set by the various city and county councils across the Republic of Ireland, and works with housing associations nationwide to ensure these are always current. Using these policies it is simple to perform rent assessments within the system, capturing the necessary data to set rent charges.
Housing associations can schedule annual rent reviews, and easily send letters and SMS reminders to tenants to submit their income and benefit sources. If returns are not completed on time, use the multi-stage reminder process to prompt people across whole housing groups, if necessary.
Property Management
Take the pain out of maintaining compliance on safety checks, certificates and inspection obligations. Easily send SMS texts to tenants across the association (e.g. holiday hours), by housing group (e.g. utility outage), or selectively prompt on arrears.
Affinity features a full property maintenance workflow to progress work orders from submission to completion, and comprehensive reporting to filter and categorise these by response types such as voids, tenant-initiated and cyclical checks. Easily correspondence with suppliers and contractors, and monitor performance by conducting satisfaction surveys.
Tenant Correspondence
Every day involves a huge volume of interactions with tenants, ranging from phone calls, conversations, and notes. Easily track all correspondence in Affinity, and keep in touch with tenants by letter and SMS. Quickly generate letters and circulars from pre-defined templates, and send statements to tenants individually or in bulk with a single click.
The system has a fully-integrated workflow for capturing tenant issues and complaints, classifying these, tracking their progress, and managing them to resolution, as well as detailed reporting for related performance management.
Management Reporting
Housing Association Performanace Management (HAPM) reporting administered via the Irish Council for Social Housing (ICSH) is integral to Affinity, and these HAPM reports can be generated automatically for substantial admin and time savings.
Affinity's suite of management reports, which are always evolving in line with performance standards outlined by the Housing Asgency Regulation Office, allow you easily to measure stock numbers by scheme, establish average rent patterns, void and re-let periods, maintenance response times, and readily identify income and rent arrears.
